ABOUT SOCIETY FOR AIDS IN AFRICA:

The Society for AIDS in Africa (SAA) was established in Kinshasa in October 1990 during the 5th International Conference on AIDS and Associated Cancers in Africa, a precursor to the International Conference on AIDS and STIs in Africa (ICASA).

The formation of the SAA with the support of the World Health Organization (W.H.O) brought to an end the practice of holding International Conference on AIDS in Africa outside the African continent. At the same time, its empowered Africans to address and respond to the challenges posed by HIV and AIDS on the continent.

The SAA envisions an HIV free Africa with capacity to confront HIV and AIDS and its consequences as well as related diseases (such as Tuberculosis and Malaria). The Society also promotes positive environment and research on HIV and related diseases. The SAA is governed by an Executive Council drawn from South, North, East, West and Central Africa. SAA partners and collaborates with AFRICASO, Society for Women against AIDS in Africa (SWAA), NAP+, the Network of Youths in Africa and it enjoys the support of the UN-System, as well as various international organizations, including the International AIDS Society (IAS). The Society is the custodian of ICASA and the 22nd Edition of ICASA was held in Harare, Zimbabwe from 4th to 9th December 2023.

The Society for AIDS in Africa (SAA) headquarters is located at East-Legon, Accra Ghana since 2009.

REQUIREMENTS FROM APPLICANT:

  • Technical Skills:
    • Proficiency in managing and troubleshooting IT systems and software.
    • Strong knowledge of database management, including SQL and other relevant tools.
    • Familiarity with network administration and security protocols.
    • Understanding of software development and automation tools is a plus.
  • Soft Skills:
    • Excellent problem-solving and analytical skills.
    • Strong communication skills, both written and verbal.
    • Ability to work independently and as part of a team.
    • Strong organizational skills with attention to detail.

MAIN TASKS AND RESPONSIBILITIES OF THE POSITION:

The IT Officer – Registration Department is responsible for managing and maintaining the technology infrastructure that supports the registration processes of the International Conference on HIV/AIDS and STIs in Africa (ICASA). This role involves ensuring the smooth operation of registration systems, providing technical support, managing databases, and collaborating with various departments to streamline registration workflows for the upcoming conference (ICASA 2025). The IT Officer will play a key role in optimizing the efficiency and reliability of the registration processes through effective use of technology.

He /she will be responsible for the following(s):

  • System Management & Maintenance:
    • Oversee the day-to-day operation and maintenance of registration software and systems.
    • Ensure all registration-related IT systems are up-to-date, secure, and functioning efficiently.
    • Monitor system performance, identify issues, and implement corrective actions.
  • Technical Support:
    • Provide technical support to staff and users within the registration department.
    • Troubleshoot software, hardware, and network issues related to the registration process.
    • Offer guidance and training to users on the effective use of registration systems.
  • Database Management:
    • Manage and maintain registration databases, ensuring data integrity and security.
    • Perform regular backups, updates, and audits of registration data.
    • Generate reports and analyze data to support decision-making and process improvements.
  • Process Optimization:
    • Collaborate with the registration team to identify areas for process improvement.
    • Implement automation and other technology solutions to enhance the efficiency of registration workflows.
    • Evaluate and recommend new software or tools to improve the registration process.
  • Security & Compliance:
    • Ensure the registration systems and data adhere to organizational policies and relevant regulations.
    • Implement and maintain security measures to protect sensitive registration data.
    • Conduct regular audits and assessments to ensure compliance with IT standards and policies.
  • Collaboration & Communication:
    • Work closely with the Registration Manager, IT department, and other stakeholders to align IT strategies with registration goals.
    • Communicate effectively with non-technical staff to explain technical concepts and procedures.
    • Participate in meetings and contribute to the planning and development of registration initiatives.

EDUCATION

  • Bachelor’s degree in information technology, Computer Science, or a related field.

EXPERIENCE

  • Minimum of 2-3 years of experience in IT support, system administration, or a similar role.
  • Experience working with registration systems or databases is highly desirable. (knowledge with EventsAir is an added advantage)

Essential: Fluency in English or French
Suitable: Fluency in English
